Your data, in plain words.
We only keep what the study needs. Here is what we collect, how long we keep it, and who else sees it.
Who we are
We are My Cost Segregation LLC, a Texas company. We build cost segregation studies. This page covers mycostsegregation.com and the tools on it. If you have a question, email us at hello@mycostsegregation.com.
What we collect
We collect only what it takes to price, build, and defend your study.
- Who you are. Your name, email, and phone if you give it. For a partner firm, the firm name and your role there.
- Your property. The address, what you paid, when you bought it, and the facts you tell us about it. Your closing statement and other documents you upload.
- Your photos. The photos you upload on the Photos step, and the notes you add to them.
- Your signature. When you sign the engagement letter, we record your name, email, the date and time, your IP address, and your browser. That is how we prove the letter was signed.
- Your payment. We never see your card number. Stripe handles the card. We keep the receipt and the amount.
- How the site is used. Which pages people visit, and errors the site hits. Error logs hold what broke, not who you are.
How we use it
- To give you an estimate and to build your study.
- To email you about your study, your estimate, or your account.
- To take your payment and send a receipt.
- To sign the engagement letter and keep a record of it.
- To defend your study if the IRS asks about it.
- To fix bugs and make the site better.
We do not sell your data. We do not show ads. We do not share your study with other clients.
How long we keep it
Each kind of record has its own clock. When the clock runs out, the record is gone.

When a study is closed, its photos and documents stay in storage until we delete the study. If you want them gone sooner, ask us and we will delete the study. We keep the signed letter and the payment record. Those are the records of our agreement. We also keep one short note per property: the address, the owner's name, the year, and the headline figure of the study. That note is how we avoid selling a second study on the same property.
Who else sees it
A few services help us run the site. Each one gets only what its job needs.
- Cloudflare hosts the site and stores your files. It also runs the "are you a robot" check on our forms.
- Stripe takes your payment. Stripe gets your name, your email, the amount, and a short label for the study.
- Resend sends our email. It gets your email address and the message.
- Google suggests addresses as you type one. The text you type is sent to Google for the suggestion. We may switch to Geoapify for the same job; the same text would go there. We also use Google Analytics to count visits on our public pages.
- County property records. When you enter an address, we send the street address to that county's own property records office. This tells us the land and building split the county already has on file. About 976 counties across the country publish this data online. We never send your name.
- Public map data from the U.S. Census Bureau, FEMA, the EPA, Esri, and OpenStreetMap. We send the property address or its map point, never your name. We use it to check the flood zone, the lot, and nearby sites, and we keep what comes back for up to 30 days.
- xAI suggests a label for each photo you upload on the Photos step, like "roof" or "kitchen." The photo is sent to xAI for that step. You can change or remove any label.
- Crisp runs live chat when the chat button is on the page. What you type in the chat goes to Crisp.
Your tax preparer or partner firm sees your study only if you share it with them, or if they brought you to us.
Cookies
We set one cookie to keep you signed in. Google Analytics sets its own cookies on our public pages to count visits. We do not use ad cookies.
How we protect it
Your data travels over an encrypted connection. A staff sign-in reset link works once and dies in minutes. Our team can see any client's study. We do not share it outside the firm. Deleting a study removes its photos and documents from storage.
Your choices
- See or fix your data. Email us and we will send you what we have, or fix what is wrong.
- Delete your data. Email us and we will delete your study, your drafts, and your account. We keep the signed letter and the payment record, because the law makes us keep records of a sale. We also keep the one-line note that a study was done at your address.
- Stop our emails. Every marketing email has an unsubscribe link. We still send emails about a study you paid for.

Kids
This site is for property owners and their advisors. It is not for anyone under 18. We do not knowingly collect data from a child.
Changes
If we change this page, we change the date at the top. A big change to what we collect or share gets an email to active clients.
